General

Start by Clicking the ‘Our Services’ dropdown (located at the top of every page). We’ve set up our site so that busy entrepreneurs can easily browse through our service offerings, choose the ‘right sized’ option, add to cart, and purchase. Each purchased service comes with a Getting Start guide so that you can begin gathering the information that we’ll require. Within a business day of placing your order, you’ll receive an email from your new Dedicated Accountant who will walk through your pre-order and help you make any necessary adjustments (before emailing you a finalized invoice).
Client communication is a key factor in a positive working relationship. You will be assigned a dedicated accountant who will handle your regular transactions and will be provided with their direct business e-mail and telephone number. Many of our clients have their own internal communication system that they invite us to join (Slack, Teams, etc). It is also quite common for clients to integrate us into their team by setting up an accounting email address under your company domain names so their employees can reach out to us more easily. The key takeaway is that we are flexible in our communications and always timely in our response, regardless of the method you prefer to use.
Yes. All of our dedicated accountants are degreed and experienced professionals that have gone through extensive background and qualification checks. Additionally, we use the latest technological tools to transmit, store and back-up any sensitive or confidential data.
VirtuCount provides full-cycle bookkeeping, accounting, and tax services for small businesses. This includes Accounts Payable, Accounts Receivable, Payroll, Sales & Use Tax Reporting, Estimated and Annual Federal Tax Filings, and Company Financials.
Order and Billing
As part of your onboarding, your Dedicated Accountant will schedule a video call with you to go over all of the services you selected at sign-up. They will help change, add, or remove services, as needed. This includes providing specific pricing for customizable services (listed as $0 on the service page).
Once the order has been finalized, you will receive an email copy of your invoice as well as a payment link.
Our refund policy is as follows:
- Monthly recurring charges are billed one month in advance and are not refundable once work has been started. Cancellations are always effective starting with the next billing cycle.
- Clean-Up and Set-Up fees can be canceled and a pro-rated refund will be issued based on the amount of work performed by VirtuCount.
- Unscheduled Consulting Fees (i.e. advisory and planning) are fully refundable.
- Scheduled Consulting Fees are fully refundable if canceled within 48 hours of the appointment.
- Missed Consulting calls can be rescheduled for a $20 service fee
All refunds paid via credit card will also be reduced by the credit card processing fee (approximately 3%).
- One-time charges: Billed in full with payment due after the order has been approved by our team.
- Monthly recurring charges: Billed one month in advance.
Services
If you have not received an email from your Dedicated Accountant within a business day, please reach out to us by forwarding a copy of your order confirmation to websales@virtucount.com and we’ll take care of you right away. (If, after checking your spam folder, you can not locate your order confirmation let us know in your email.)
One-time consulting services will become available to schedule after payment is received. You will receive an email with a scheduling link. Recurring services will generally start the next business day following receipt of payment. If you wish to delay the start of your services, please mention this to your Dedicated Accountant so that we can adjust the timeline and fee schedule accordingly.

Most services have different service levels that vary based on either quantity or complexity. Details regarding each service level can be found in the description of the service. If you choose a service level that is not in sync with your actual needs, your Dedicated Accountant will discuss this with you and assist with making an adjustment to your order.
