Get Your 2026 Books Organized
Clear records. A judgment-free fresh start.
VirtuCount helps service-business owners organize their QuickBooks Online books for their tax preparer.
Full-year 2026 cleanup starts in January 2027, after December statements and required records are available.
Your complimentary scope review comes first. Receive a fixed quote and an agreed start window before you commit.
A January start does not guarantee January completion.
Is This Cleanup Right for You?
For consultants, freelancers, small agencies, and other service businesses whose 2026 QuickBooks Online records need attention.
- You have unreconciled accounts or uncategorized transactions.
- Your reports are confusing or you changed bookkeeping systems.
- You want organized records to share with your tax preparer.
Cash- and accrual-basis businesses are reviewed individually. Low transaction volume does not always mean a simple cleanup.
You do not need to catch up before contacting us. The initial review assesses fit and scope; detailed diagnosis and corrections are paid work.
What Your 2026 Cleanup Includes
Within your written scope, VirtuCount will:
- Categorize transactions and reconcile included bank and credit-card accounts.
- Correct ordinary duplicate, missing, and misclassified transactions using available supporting records.
- Review balance-sheet accounts and verify agreed opening balances, including straightforward documented corrections.
- Prepare a final profit and loss statement and balance sheet on the agreed accounting basis.
- Summarize corrections, unresolved items, and next steps.
- Provide a 30-minute handoff and review call.
Missing information may limit what can be resolved. We explain outstanding issues rather than promise perfect or complete records.
Tax preparation, tax filing, software subscriptions, and work outside the agreed scope are separate unless expressly included.
Clear Scope. A Quote Before You Commit.
Starting prices apply to qualifying records within each package’s limits. Your fixed quote depends on transaction volume, accounts, record condition, and complexity.
Simple Cleanup — Starting at $995
Up to 600 transactions for 2026 and two bank/credit-card accounts. For straightforward, single-entity records.
Standard Cleanup — Starting at $1,495
Up to 1,500 transactions for 2026 and two bank/credit-card accounts, subject to scope review.
Expanded Cleanup — Starting at $2,495
Up to 3,000 transactions for 2026 and four bank/credit-card accounts, subject to scope review.
Complex Cleanup — Custom Quote
For reconstruction, substantial corrections, or work outside the package limits.
Your initial scope review is complimentary. There is no obligation to purchase.
We count each unique bank or credit-card statement entry once per account, including both sides of transfers. Duplicate imports do not increase volume, but correction work affects complexity. Each distinct statement account counts separately, including closed accounts. Loans, payment processors, and invoice/bill activity are assessed separately.
Work That Needs Individual Review
- Prior-year corrections or major opening-balance reconstruction.
- Inventory and complicated ecommerce settlements.
- Multiple entities, payroll or sales-tax corrections.
- Extensive accounts receivable or payable reconstruction.
- Heavily mixed personal/business activity or missing-record reconstruction.
Additional accounts and complexity are quoted after review. If new work appears, we explain the revised scope, fee, and timing and obtain written approval before proceeding.
Optional 1099 Support
Need help with contractor reporting? Ask about separately quoted 1099 preparation and filing support. We confirm applicable forms, required contractor and payment records, scope, fees, and filing timing before accepting the work. This add-on is not included in the cleanup fee.
How Your Cleanup Works
- Send a short inquiry. Tell us about your business, records, and goals. No payment is required to inquire.
- Complete a complimentary scope review. We request secure accountant access and relevant records to assess fit and prepare your quote.
- Review your fixed quote and schedule. Your agreement identifies included work, exclusions, required documents, payment terms, and the agreed start window.
- Reserve your window. Sign the agreement and pay 30% of the accepted quote, credited toward your total fee. Another 20% is due when work begins; the remaining 50% is due at completion, before final reports and your review call.
- Receive your cleanup and handoff. We provide a completion summary, identify unresolved items, and review your reports with you.
Full-year work begins in January 2027 or a later agreed window after December statements and essential records are available. January completion is not guaranteed.
Missing records or delayed responses may shift timing. Your agreement explains document deadlines, cancellation, refunds for unearned payments, and rescheduling.
Choose the Support That Fits
Annual: Get your books organized for your tax preparer each year.
Quarterly: Keep your records updated with quarterly support.
Monthly: Have your books maintained throughout the year.
Ongoing support is optional and quoted separately. To start monthly service sooner, we quote historical cleanup through a specific cutoff and begin monthly service the following month, avoiding overlaps or gaps.

Frequently Asked Questions
Do I need to be “caught up” before signing up?
Not at all. Many business owners come to us behind, unsure where to start, or worried their books are “too messy.”
There’s zero judgment here — we’ll help you get everything back on track.
What if I don’t have an existing QuickBooks Online (QBO) account?
You can inquire without a QuickBooks Online subscription. We assess whether setup or a conversion is needed and quote that work separately. Software subscriptions are not included unless your agreement expressly says so.
How long does the clean-up take?
Full-year 2026 cleanup begins in January 2027 or a later agreed window after December statements and essential records are available. We confirm estimated completion timing after reviewing scope and readiness. A January start does not guarantee January completion. Document delays and additional approved work can change the schedule.
What accounting platforms do you support?
We specialize in QuickBooks Online for all cleanup projects. If you’re using something else, feel free to reach out — we may still be able to help or guide you.
Do you offer payment plans?
After scope approval and a signed agreement, 30% of your accepted quote reserves the agreed start window and is credited toward your total fee. Another 20% is due when work begins, and the remaining 50% at completion before final reports and your review call. Your agreement explains cancellation, refunds of unearned payments, and rescheduling.
What do you need from me to get started?
We begin with business details and secure QuickBooks Online accountant access. Depending on scope, we request 2026 bank and credit-card statements, December 2025 closing statements, loan and processor statements, supporting balance schedules, and answers to transaction questions. December 2026 statements are needed for full-year completion. Your agreement specifies required records and deadlines. Do not send passwords or sensitive documents through the public inquiry form.
What happens if I’m missing documents?
We identify what is missing and explain which work depends on it. Essential missing records can pause affected work or move your start window. Missing-record reconstruction requires a separate quote. Any unresolved items and reporting limitations are documented at handoff.
Will my books look perfect after the cleanup?
We work to resolve issues within the agreed scope using the records you provide. Missing information may prevent some balances or transactions from being fully resolved. Your handoff includes a summary of corrections, limitations, and outstanding questions for you or your tax preparer.
Is this a judgment-free process?
Absolutely.
No shame, no guilt, no overwhelm — we’ve seen everything, and our job is simply to help you get clarity and confidence in your numbers.
Can you help with monthly bookkeeping after the clean-up?
Yes. Annual-only, quarterly, and monthly support are separate choices; ongoing service is not required to purchase cleanup. If you want monthly service to begin now, we quote historical cleanup through an agreed cutoff and begin monthly service the following month, with no overlapping scope or gaps.
How do I know if I need a cleanup?
You’ll likely benefit from a cleanup if:
your accounts aren’t fully reconciled
you have uncategorized income/expenses
your reports don’t look right
you’re unsure about your true financial position
tax season feels stressful or confusing
